About the Organization

Capital Women’s Care (CWC) is a group of health care providers specializing in obstetrics and gynecology that aims to provide clinical excellence and the highest quality women’s health care services. With over 30 locations in Maryland, Washington DC, and Virginia, it is the largest OB/GYN practice in the mid-Atlantic region. Through sharing ideas and information between physicians in the region, the organization strives to offer every woman superior care and individualized medical attention.

Situation

Healthcare regulations, HIPPA compliance issues and new technologies are constantly evolving. Further, CWC’s recent implementation of Electronic Health Records (EHR) added a new layer of complexity to the daily lives of its staff. As a result, CWC’s ongoing training needs skyrocketed. CWC urgently needed the ability to efficiently track which employees had successfully taken training courses in order to ensure compliance and appropriately give access to data and technology.

Further complicating matters, staff and providers are rarely all in the same room, making live training difficult to organize. Also, most of the computers at CWC’s facilities are locked down with use restricted to very narrow tasks relating to patient care. This restricted use of computers made online training challenging. Kerri Greene, Project Manager in charge of Training and Education, was given the difficult task of finding and implementing a solution.

Solution

Kerri realized that CWC needed a self-paced online training solution to compliment their live classes and webinars. After consulting with CWC’s IT provider, Kerri discovered Mindflash. She enjoyed the ease-of-use of Mindflash and loved the fact that she could upload the training files she already had created. Capital Women's Care launched their first course within days and now their Mindflash training program has dozens of courses with over 600 trainees including 140 providers and clinical staff.

With Mindflash, Kerri can now:

  • Ensure their providers and clinical staff are up to date with regulations and instructions by efficiently and quickly disseminating information online.
  • Deliver training courses consistently so all staff can remain up to date.
  • Use robust reporting tools to quickly identify trainees who have failed a course or missed a deadline.
  • Require trainees to answer at least 70% of quiz questions correctly in order to pass a course and access the associated clinical tools.
  • Accommodate several different learning styles and ensure every team member in every location receives the same message
  • Improve the quality of courses by surveying clinical staff to see if they still have questions, even after completion of training.

The staff has appreciated the flexibility of being able to take training anytime, anywhere. The Mindflash mobile option is particularly useful as clinical staff are constantly on the move. The iPads are also the ideal training delivery device for providers during their breaks in between patient visits. Further, it allows staff to take training online without using the locked-down CWC computers.

“Everyone loves the iPad training!” Kerri says. “The interactive modules on the iPad give the user the ability to touch and feel connected to the information that is being deployed, helping trainees learn and stay engaged. Also, as a trainer, my job is easier knowing that staff can access Mindflash mobile training courses no matter where they are located.”

Results

With Mindflash, CWC has been able to dramatically scale their training program without increasing the number of full time trainers. Further, trainees are now receiving the exact same clear and direct training, ensuring fairness and efficiency.

Not only is CWC providing more training, but they have reduced costs as well. Before Mindflash, CWC would have to spend thousands of dollars on travel and hotel rooms in order to deliver training. Now Mindflash provides CWC with the ability to “push training out to a large amount of users without spending a lot of money on travel and rental facilities” Kerri says.

The end result is that the staff is better at their day-to-day work due to the new training program. Healthcare workers need to learn on a daily basis, so efficient dissemination of information is vital for employee productivity. With Mindflash, courses can be created quickly, trainees can access the courses easily via iPad or PC and trainers can receive real-time reporting to make sure the program is working optimally.

The Burlington Fire Department is a municipal fire department that provides vital emergency response, prevention, and education services in order to increase community safety and quality of life in region of Burlington, Ontario Canada, which was named the best mid-sized city in Canada. The force strives to be a leader in service excellence, employee development, strategic alliances, advanced training, and use of technology.

Situation

The Burlington Fire Department runs eight fire stations and employs roughly 300 people, including career and volunteer firefighters, dispatchers, mechanics, trainers, inspectors, investigators, and a public educator. The department responds to a variety of emergencies within the municipality, from fires and car accidents to water rescue and chemical spills. All of the staff must complete mandatory training on a regular basis. Additionally, Training Supervisor Bill Hammond creates special interest training for outside agencies such as the regional police force (for example, how to utilize extrication tools for forcible entry).

Training is especially important due to the dangerous nature of the work–the more skilled the workforce, the less people get hurt. As such, Hammond’s main goal with training is 100 percent compliance, meaning he can prove to an outside agency that 100 percent of staff has taken a specific training program. The challenge is ensuring that every person is trained at the same level, with the same content, and within the same time period. It’s critical that everyone receives an identical message, and that Hammond has accurate documentation of training. The in-house program that was created for the department did not allow him to deliver a consistent message, and it didn’t track completion or scoring on training courses.

Solution

The Burlington Fire Department searched for an eLearning solution and chose Mindflash due to its ease of use and breadth of features. Hammond uses interactive PowerPoint presentations, PDF documents and videos to create courses, each of which is concluded with a test. For mandatory training, he sets a time frame (usually 21 days) within which employees must complete the course. Additionally, trainees must achieve a certain percentage on the test in order to pass training. Special interest courses are generally presented on a big screen by the captains, with trainees taking the tests at their leisure, independently.

Hammond likes Mindflash because it:

  • Is easy to use, both for the trainer and the trainees.
  • Is cost effective and didn’t require any upgrades to their system.
  • Ensures that every employee receives the same message at the same time.
  • Automatically converts any video format during uploading.
  • Provides instant results and great overall reporting.
  • Lets him add a completion certificate at the end of each program.
  • Can be accessed anywhere at any time.

Results

In the year that Hammond has been using Mindflash, he has created about 40 courses. The most recent course had 160 trainees enrolled. At any given moment, Bill can instantly see who has completed a course, who is currently taking it, and who hasn’t started. Further, he can filter it all by group, platoon, or station. Although the minimum pass rate is 70 per cent on the quizzes, almost all trainees get 100 percent. And for the first time in Burlington Fire history, he can say they’ve had 100 percent compliance–and he can prove it with course-by-course reports printed from Mindflash.

MacPack LLC is a packing and crating company, which specializes in the packing of hazardous materials for transportation, and specialized preservation packing. The company is a leader in its field and regularly trains 3rd parties on best practices for transporting hazardous materials.

Situation

Hazardous materials in transportation can be dangerous. As a result, the industry follows a strict set of regulations that guide their preparation. These regulations can often be difficult to understand and comply with. MacPack has developed a significant business in training other companies on how to comply with these regulations.

Allison Davis is tasked with training 3rd party companies, along with her many other internal responsibilities at MacPack. Typically her in-person training courses would take three full days plus travel. Dealing with logistics like room rentals and organizing lunch for trainees were an added burden for Allison. “I would be completely out of commission for 3-days” Allison said. “I didn’t want to travel all the time.” While MacPack would pass the costs onto the trainees, it “wasn’t the business we wanted to be in.” Allison said. Trainees were unhappy at having to take 3-days off of work to complete their training and the $700 per trainee registration fee plus travel expenses was prohibitive to some companies.

Solution

Allison realized that there must be a more efficient solution. She searched on Google and found Mindflash. She was pleasantly surprised when it only took her two hours to create a professional-looking online course using her existing PowerPoint and PDF files.

This ease in editing course content is a godsend for Allison. “I like that it is so easy to update material on Mindflash because regulations change so often. The product couldn’t be any easier to use. Also, Mindflash customer service is fabulous.”

Results

Allison has now successfully moved her training program online using Mindflash. Instead of spending 3-days for each training, trainees can now complete all of their training requirements online in far less time. Trainees can work on as much material as they have time for and then login again at later time of their convenience.

Further, MacPack was able to cut the cost of the course in half, which works to further increase its popularity. They are currently training about 50 people a month and growing. “I’ve gotten great feedback from trainees” Allison says. “They really appreciate the fact that they don’t have to travel for training. And they love being able to pick right up where they left off online.”

The Los Angeles Regional Food Bank is a nonprofit, charitable organization that helps fight hunger by collecting food donations from several sources and distributing them to the needy through a network of over 1,000 partner agency sites throughout the county. The L.A. Regional Food Bank also sponsors classes and programs aimed at raising awareness and support of hunger relief.

Situation

The L.A. Regional Food Bank’s partner pantry agencies are required to complete an annual food safety course in order to distribute food. Previously, all training and certification was done in-person either at the Food Bank or at the annual agency conference.

However several factors made training and certification difficult. First, the agency needed to train at least one member of over 400 different agencies — and many of those agencies employed only part-time volunteers, which often made scheduling a training appointment difficult. With only limited opportunities to train and certify partner agency staff, the Food Bank was often forced to certify large groups of people in-person at once, during the annual agency conference. As a result, the Food Bank could only deliver food safety training to a maximum of two members of each agency.

Solution

The Los Angeles Regional Food Bank turned to Mindflash to solve its training and certification conundrum. With Mindflash, the Food Bank was able to:

  • Allow partner agency staff to access training materials any time, from any place.

The Engineering Services division of this €50 billion industrial powerhouse uses Mindflash to train contractors on safety standards and practices before they report for their first day of work on an automotive parts shop floor.
